Golf Event Policies & Procedures


The final pairing list should be faxed, emailed, or dropped off at the golf shop no later than 72 hours prior to the event.  This will ensure that your event is prepared and will run according to schedule.  All itemized golf charges must be reviewed and signed at the conclusion of the function.  If you are not available or choose not to sign, you accept the billing count of Whitney Oaks Golf Club.


A 10% deposit is due with the signing of the contract to hold the tentative tee times.  If the deposit and signed contract are not received by the deposit due date, all tee times will be canceled.    A deposit of 50% of the total tournament fee is required 30 days prior to the event.  Final payment is due prior to the start of the event.  Payment is accepted on Visa/Mastercard/American Express, or by Cash or Check made payable to Whitney Oaks Golf Club.  If paying by check, payment must be received in full 14 days prior to the event or a credit card authorization is needed.

Guaranteed Attendance/Cancellation

Please refer to the Attrition Schedule below for all conditions regarding your group’s attendance.  This will provide you with information about our cancellation policy and guaranteed attendance.

Attrition Schedule

Cancellation 0 – 14 days prior to the event       100% of contracted revenue
Cancellation 15 – 30 days prior to the event   50% of contracted revenue
Cancellation 31 – 60 days prior to the event   25% of contracted revenue

Dress Code

In staying with the true spirit of the game, proper attire is requested. Whitney Oaks Golf Club strictly enforces these policies.  Any participant who does not comply with the dress code policy will be asked to purchase proper attire from Whitney Oaks Golf Club or will not be allowed to participate in the day’s event.  Whitney Oaks Golf Club is a non-metal spike facility.


It is not permitted for guests to bring their own coolers and/or food and beverage products to our facility. Coolers are provided on each of our golf cars for your guests’ convenience. No alcoholic beverage in any form may be brought onto the Whitney Oaks Golf Club property, in accordance with Whitney Oaks Golf Club license with the Department of Alcohol Beverage Control (Section 25750, Business & Professional Code; Section 22, Article XX California Constitution).  We offer beverage cart services as well as a refreshment area for your guests to purchase food and beverage products from Whitney Oaks. Guests are welcome to buy extra products and stock them in the coolers provided to them on our golf cars.

Food and Beverage Guarantee and Cancellation

A guarantee of attendance is required 14 business days prior to all functions.  Your guarantee may not be decreased after this time.  If fewer than the final guaranteed number of guests attend the function, you are still charged for that final guaranteed number, or the actual attendance, whichever is greater.


Client assumes responsibility for any claims for loss or damage to itself or its equipment during the event.  Client shall also indemnify and hold Whitney Oaks  Golf Club harmless for any injury to persons or damage to property except in claims due to Whitney Oaks Golf Club’s gross negligence.  Whitney Oaks Golf Club does not accept liability for items left unattended in dining areas, banquet space or on the golf course.  Client will also compensate Whitney Oaks Golf Club for any damage caused by its group, agents or exhibitors.
