Position Description

Primary tasks and objectives are to successfully negotiate, sell, execute and implement all operational details of meetings, events, weddings, receptions, events, banquets and group functions for internal and retail groups, while providing AAA Four Diamond Service at all times.  Manager will ensure up-selling and maximum revenue generation by executing both in-bound and out-bound sales strategies as directed by General Manager, assisted by the Thunder Valley Casino Resort Senior Sales Manager. 


Essential Duties and Responsibilities
1) Meeting Space Management using Opera Sales & Catering software; stay current on all events and ensure they are entered in to Opera in a timely manner.
2) Internal/External Communication:    
A. BEO development, execution, signatures and distribution. Both internal and retail events. 
B. Change log or change order forms.  Both internal and retail events.
C. Check daily for all functions, times and locations against meeting plans.
D. Responsible for ensuring pacing goals weekly, monthly and annually.
E. Respect priorities and stay in contact with Food and Beverage Manager, General Manager, and Group Contact to book event and needs of the group.  To maintain communication to all involved during contract process.
3) Meetings: Conduct weekly BEO/event order and Pre-Con review meeting effectively and concisely.
4) Up-selling/Financial Responsibilities: include up selling and maximization of revenue opportunities.
5) Property Knowledge:
A. Affluent in all meeting/event space, function space setups.
B. Knowledgeable of the restaurant capacity/capability and AV capabilities of the property.
6) Monitor Pricing: A price sheet for all sellable equipment/services that is current and competitive is presentable to the client.  
7) Vendor List: A current vendor list in in place.  This list must appropriately match the needs of the property and must be made accessible to other key managers and/or staff
8) Legal Contracts: Maintain the integrity of our legal contract; confirm number of participants, special events and requirements.  
9) Operations:
A. Conduct meeting/conference space site tours to potential clients – on going.
B. Attend local associations and affiliations meetings and events on an as needed basis.
C. Attend preapproved by General Manager, tradeshows as assigned. Travel may be required.
D. Inspects rooms/halls for conformance to needs and desires of group.
E. Arranges publicity, special functions, resolves complaints, and performs other duties to promote goodwill.
F. Post BEO’s 2 weeks in advance and conduct pre event huddles, assign and supervise staff responsibilities.
G. Direct and supervise the execution of the entire event,  including setup help and takedown of events.
H. Complete a recap form to summarize the event and handle any guest opportunities.
I. Be fiscally responsible, confirm and facilitate proper billing for each group.
J. Maintain proper use of banquet space for maximum efficiency and revenue.
K. Provide thank you letters to following the event.
L. Promote and market Whitney Oaks Golf Club.
10) Other duties may be assigned.

Minimum Qualifications
EDUCATION and/or EXPERIENCE:   Associates degree and two or more years related experience and/or training in a related field (event planning, catering, food and beverage, group sales, etc.); or equivalent combination of education and experience.  

LANGUAGE SKILLS:   Ability to read, interpret and write reports, business correspondence and procedure manuals.  Ability to speak effectively before groups of guests or employees of the organization.  Ability to effectively respond to questions from guests, staff and general public.

MATHEMATICAL SKILLS:  Ability to calculate figures and amounts such as discounts, commissions and percentages, by applying concepts of basic math.  Ability to follow procedures relative to running the business through budgets, purchase orders, etc.

REASONING ABILITY:  Ability to define problems, establish facts and draw valid conclusions.  Ability to interpret, mediate and resolve staff and guest issues.

CERTIFICATES, LICENSES, REGISTRATIONS:  Valid Driver's License required. TIPS Training, Safe Serve and Alcohol Awareness courses governed by the local, state and governmental agencies as required. 

HOURS:  Flexibility in working evenings and weekends.


Physical Requirements
Requires normal, corrected vision range, the ability to distinguish letters, numbers, and symbols.


Work Conditions
Work is performed in indoor and outdoor environments. Work outdoors may take place in heat, cold or inclement weather.  Team Member may be required to stand, walk, lift, reach, push, pull, and grasp.  Heavy use of telephones and computer throughout the work shift.  Frequent guest and Team Member contact.
